A sales order is the seller’s confirmation of a customer’s order: what was ordered, at what price, when and where it will be delivered and on what terms. It is raised when the customer’s purchase order, or their acceptance of your quotation, arrives, and it drives everything after it: reserving stock or planning production, dispatch and invoicing.
A sales order is a commercial document, not a GST document, so its format is yours. It should carry the customer’s PO number, so the challan and invoice that follow can be matched to it.
Send the sales order to the customer as the order acknowledgement. If your terms differ from their PO (price, delivery, payment), the acknowledgement is where you say so, before you ship.
Before confirming, check the customer’s outstanding against their credit limit. An order that would take them over the limit needs an advance or an approval.
In Rebota a sales order is made from the accepted quotation, checked against the customer’s credit limit when it is confirmed, and reserves the stock, down to serial numbers, so it can’t be sold twice. Delivery notes are made from the order and you invoice what was delivered; a partly delivered order shows what is still to go.
