Ask the store or the purchase team for material in writing: what, how much, by when and for what, with the stock already in hand. Download a PDF to sign. Free, no sign-up.
A material requisition, also called an indent, is the internal request from a site, department or production line for material it needs. It tells the store or the purchase team what is needed, how much, by when and for what, and it is the first document of the purchase cycle: no requisition, no purchase order.
If the store has the material, it issues it against the requisition. If not, the purchase team asks suppliers for quotations and raises a purchase order for the shortfall.
A clean cycle runs: indent, approval, issue from stock or enquiry to suppliers, purchase order, goods receipt, bill. Keep the indent number on the purchase order so every purchase can be traced to the person who asked for it.
Set an approval limit by value or by type of item, so routine consumables move fast and big-ticket material gets a second look.
In Rebota a requisition is raised against a project or department, submitted for approval and approved or rejected, and the approved lines are converted, in full or in part, into purchase orders. Each requisition is numbered, prints as a document and keeps its approval history.
